Built for schools

Answers from your own documents

Docutrix answers from the documents your school uploads — curriculum documents, schemes of work, assessment rubrics, staff handbooks, and safeguarding policies — so answers use your policies and your terminology, with citations.

Cited answers to every question

Every response links to the exact document and page number. Trust the answer, and share the source with a colleague or parent — no manual cross-referencing.

Cross-document queries

Ask a question across every document at once. 'Which policies mention mobile phone use?' — Docutrix queries the whole library and returns matches with citations.

Document access controls

Keep sensitive documents — safeguarding records, HR files, exam materials — visible only to the staff who should see them. Available on Business and Enterprise plans.

Questions school staff ask Docutrix

Each answered with a citation to the source document and page number.

"What does the assessment policy say about late submissions?"
"What are the learning objectives for Year 9 biology, term 1?"
"What is the procedure for reporting a safeguarding concern?"
"How many INSET days are in the school calendar this year?"
"What is the school's policy on mobile phone use in lessons?"
"What are the marking guidelines for GCSE coursework?"

How it works for schools

Upload, ask, verify. No tagging, folder taxonomy or prompt engineering required.

  1. 1

    Upload your school's documents

Add the staff handbook, policies, curriculum documents and schemes of work as PDF or Word (.docx) files, or connect Google Drive or SharePoint on Business and Enterprise plans. Indexing usually completes within a few minutes.

  2. 2

    Ask in everyday language

Ask the question you'd otherwise ask the colleague in the next classroom: "What does the assessment policy say about late submissions?" Docutrix searches every document at once.

  3. 3

    Check the source

Every answer cites the document and page it came from, so you can confirm the exact wording before acting on it or sharing it with a parent. If the answer isn't in your documents, Docutrix says so.

Documents schools upload

Start with the documents staff ask about most, especially during induction.

  • Staff handbook and code of conduct
  • Safeguarding and child protection procedures
  • Assessment, marking and homework policies
  • Curriculum documents, schemes of work and learning objectives
  • Behaviour and mobile phone policies
  • School calendar, term dates and INSET days
  • New staff induction packs

  6. 6When a policy is updated, upload the new version and Docutrix re-indexes it automatically.

Security for school documents

Schools hold sensitive information about pupils and staff. Here's what applies.

School documents never train AI models

Docutrix does not use your documents, queries or answers to train, fine-tune or improve AI models, on any plan. It is a contractual commitment.

Sensitive files stay restricted

On Business and Enterprise plans, admins limit document collections to specific staff. Access is enforced at query time, so restricted documents never appear in another person's answer.

Encrypted at rest and in transit

Documents, embeddings and metadata are encrypted at rest with AES-256, and all traffic uses TLS 1.2 or higher.

GDPR and data residency

Docutrix acts as a data processor under GDPR. Enterprise plans include a Data Processing Agreement and data residency options.

Frequently asked questions

Is there a special education mode?

No separate mode is needed. Docutrix answers from your school's own documents, so it uses your policies, your curriculum and your terminology, and every answer cites the document and page it came from.

How is this different from asking ChatGPT?

A general chatbot answers from what it learned on the internet. Docutrix answers only from the documents your school uploads and shows its source, so staff get your school's actual policy rather than a plausible-sounding guess.

Can new teachers use it during induction?

Yes. New staff can ask about policies, procedures and curriculum expectations in plain language and get cited answers, instead of asking colleagues the same questions all term.

Can we keep safeguarding records private?

Yes, on Business and Enterprise plans. Admins can restrict document collections to specific staff, and those restrictions are enforced every time a question is asked.

Does it work on phones and tablets?

Yes. Docutrix works in any modern mobile browser with no app to download, and you can upload PDFs and Word files from your device.

Which plan suits a school?

Pro covers 10 staff and 10,000 pages. For a whole staffroom, Business offers unlimited users (5 minimum), access controls, Google Drive and SharePoint integrations and 50,000 pages. Starter, Pro and Business each come with a 30-day free trial.
