Security for employee data

HR documents range from public handbooks to highly sensitive records. Here's what applies.

Employee data never trains AI models

Docutrix does not use your documents, queries or answers to train, fine-tune or improve AI models, on any plan. It is a contractual commitment.

Sensitive files stay restricted

On Business and Enterprise plans, admins limit collections to specific users or teams. Access is enforced at query time, so restricted records never appear in an employee's answer.

Encrypted at rest and in transit

Documents, embeddings and metadata are encrypted at rest with AES-256, and all traffic uses TLS 1.2 or higher.

GDPR and data residency

Docutrix acts as a data processor under GDPR. Enterprise plans include a Data Processing Agreement and data residency options.

Yes. Invite employees as workspace members and they can ask questions directly, getting cited answers from the current handbook instead of waiting for HR. On Business and Enterprise plans, access controls keep sensitive HR documents out of their answers.

What happens when we update a policy?

Upload the new version and Docutrix re-indexes it automatically, usually within a few minutes. Existing answers stay available until the new version is indexed. With SharePoint or Google Drive connected, changed files are picked up by the sync.

Can Docutrix handle policies for several countries?

Yes. Upload each country's handbook or local supplement and ask about a specific location. The HR & People Industry Context understands employment policy language that differs between jurisdictions.

Can we embed Docutrix on our intranet?
